Terms & Conditions

Introduction

These Terms & Conditions set out the basis on which Beyond Borders Travel accepts bookings and provides travel services.

By making a booking with us, you agree to be bound by these Terms & Conditions together with any additional terms provided at the time of booking.

Your Contract

A contract exists once your booking has been confirmed and payment has been received.

Full details of your travel arrangements, including applicable terms, will be outlined in your booking documentation.

Booking

All travel arrangements are tailored to your requirements.

A booking is confirmed once your proposal has been accepted and the required payment has been made.

Pricing

All pricing is provided on a bespoke basis and is subject to availability at the time of confirmation.

Final pricing and inclusions will be detailed in your booking documentation.

Payment

A non-refundable deposit of 30% of the total booking value is required to confirm your booking. Payment of the deposit constitutes acceptance of these Terms & Conditions.

The remaining balance is due no later than 90 days prior to arrival, unless otherwise specified in your booking confirmation.

Payments are to be made via bank transfer to the account detailed on your invoice.

Where payment is accepted by credit or debit card, any chargebacks, reversals, or failed transactions do not remove the obligation to settle the full amount due.

All services are subject to full payment being received in cleared funds prior to travel.

Cancellation

All cancellations must be made in writing and are only effective upon receipt.

The following cancellation charges apply:

  • 30% of the total booking value if cancelled 91 days or more prior to arrival
  • 100% of the total booking value if cancelled 90 days or less prior to arrival

The deposit is non-refundable. Where cancellation occurs within 90 days of arrival, the full booking value remains payable.

No refunds will be given for unused services, including where a traveller joins late, leaves early, or fails to travel.

Any exceptions to this policy must be confirmed in writing. Where refunds are agreed, they may be subject to administrative and bank charges.

Suppliers

We work with independent suppliers for the provision of travel services.

All services are subject to the terms and conditions of those suppliers, which will apply to your booking.

Responsibility

Our role in your booking will be defined at the time of confirmation.

Where we act as an organiser, we accept responsibility for the proper performance of your travel arrangements in accordance with applicable regulations.

Where we act as an agent, responsibility for the delivery of services rests with the relevant supplier.

Travel Insurance

Adequate travel insurance is a condition of travel.

You are required to ensure that appropriate insurance cover is in place at the time of confirming your booking. Proof of insurance may be requested.

Your policy should include, at a minimum:

  • Emergency medical expenses
  • Emergency evacuation
  • Repatriation
  • Cancellation or curtailment of your trip
  • Loss, theft, or damage to personal belongings

Beyond Borders Travel accepts no liability for any costs incurred due to insufficient or absent insurance cover.

Travel Requirements

You are responsible for ensuring that you meet all passport, visa, and health requirements for your travel.

Complaints

Any issues during travel should be raised with the supplier at the time and brought to our attention as soon as possible.

Data Protection

We process personal data in accordance with applicable UK data protection legislation. Please refer to our Privacy Policy for further details.

Governing Law

These Terms & Conditions are governed by the laws of England and Wales.
